One way to go about doing tank management is by creating a spreadsheet. Assign a column to each step: milling, mash, brew and transfer - then one for fermenting, conditioning and packaging. Insert one row for each day of the month, and then assign a color to each batch. Pretty soon, you’ll have a very messy color chart; nevertheless, wherever you don't see a color, you'll know that's an indication that piece of equipment is going idle.
